Inspections Tasks in Mobile App

Access My Inspections

About This Task

This topic describes how to access the My Inspections page, on which you can view a list of all open inspections assigned to you as the Inspection Report Owner or as an Inspection Team Member for the report. Using this page, you can perform the following actions:
Note: When accessing the Integrity Mobile app in offline mode, the My Inspections page only displays previously downloaded inspections. You cannot upload an inspection.

Procedure

  1. Log in to the Integrity Mobile app.
    The My Inspections section is selected by default and it displays the list of inspections assigned to you either as the Inspection Report Owner or as a Team Member for the report.
  2. Select Check Out.
    The selected inspection is downloaded to your mobile device and appears checked out to you. The Action field now displays the value Upload. The Inspection ID appears as a link. You can now select the Inspection ID to access the Inspection Details page.
    Note: Any inspection that has been assigned to multiple team members and has already been checked out by another team member will show as a locked inspection in the Action column and will display the user name and the date on which they are checked out. You cannot check out a locked inspection (that is, an inspection checked out by others). You can check it out only after it is uploaded (or deleted or revoked by an administrator). A locked inspection cannot be modified by any user in the APM web client.
    Tip: To download the Inspection History report automatically while downloading an Inspection, you can Configure Downloading Inspection History Report.
  3. Access the Inspection Workspace.
  4. Select Upload to save the changes made to the inspection on your mobile device on to the APM database.
    A confirmation message appears, indicating that the inspection is uploaded to the APM server successfully.

Results

The data for the inspection has been updated in the APM database.
  • The inspection check-out or upload functions work only when the mobile device is connected to a network.
  • You can select Upload for multiple inspections. When you select the action, it will move the inspection to the Syncing status and the status is updated as it progresses through the process.
  • If there is an error while syncing an inspection, the status column displays Sync Errors. You can open the inspection, review, correct any data entry errors, and select Retry on the My Inspections page to attempt to upload again.
  • You can add or remove fields from the My Inspections list by selecting ; the selections made are retained as a user preference. For more information on show or hide fields, refer Show Column or Hide Column sections of this document.
  • You can refresh the My Inspections page by pulling the page down until a loading indicator appears.

Access All Tasks Page

About This Task

This topic describes how to access the All Tasks page, on which you can view a list of tasks that you can review; you can also create inspections directly from the app and check out for completion. An inspector can evaluate necessary work and take action within the app, even if the inspection has not been created in APM.

You can create inspections only for tasks that have the Inspection Document Type specified.

Note: When accessing the Integrity Mobile app in offline mode, the All Tasks page will not be displayed.

Procedure

  1. Log in to the Integrity Mobile app.
  2. Select the All Tasks tab.
    The All Tasks page appears, displaying the available tasks.
    Note: You can configure the columns in the All Tasks grid by selecting ; the selections made are retained as a user preference.
  3. Identify the task whose inspection you want to complete.
    Note: You can search for tasks using the Search box.
  4. Select Create Inspection in the Action column to create and check out an Inspection for the task.
    A confirmation message appears, indicating that the inspection is successfully created and available in the My Inspections page.
  5. Select the My Inspections tab to view the downloaded inspection and complete the inspection details.

Results

To create an inspection, you must access All Tasks page on your mobile device.
  • You can view the newly created inspections in the My Inspections page.
  • You can refresh the All Tasks page by pulling the page down until a loading indicator appears.

Access the Inspection Workspace

About This Task

This topic describes how to access inspection for completion when the inspection is checked out and appear in the inspection workspace. This workspace contains the following sections:

Procedure

  1. Access my inspections page.
  2. Select Check Out to download an inspection to your mobile device.
    The selected inspection is downloaded to your mobile device and appears checked out to you. The Action column displays the Upload link. The Inspection ID appears as a link.
  3. Select Inspection ID for the desired inspection.
    The Inspection workspace appears, and the Inspection Details section is selected by default.

Results

When an inspection is checked out, the following actions occur:
  • The offline form and current values for the inspection are downloaded.
  • The offline form and current values are downloaded for any related family for which the Offline check box is selected in the Related Family of Event Configuration.
  • The offline form and current values of any Inspection Recommendations related to the inspection are downloaded.
  • When a checklist inspection is downloaded, the offline form and current values of any Checklist Findings are downloaded.
Note:
  • You can create or modify the offline forms for the families by selecting the Manage Offline Forms link in the Datasheets section for a given family in Family Management. For more information on the offline forms, refer to the About Offline Forms section from the Family Management module.
  • Only one offline form can be created at a time for a family.
  • Only families that have an offline form created can have the Offline check box selected in the Related Families section of the Event Configuration for a given family.
  • Offline forms only support field behaviors as the behaviors are executable in a disconnected state. Rules are required to execute via a APM Server connection.
  • When checked out, the downloaded offline forms and record data are stored in internal database of the Integrity Mobile app.

Create or Modify Findings and Sub-Inspections

About This Task

This topic describes how to create or modify findings for a checklist and a non-checklist inspection.

Procedure

  1. For a checklist inspection:
    1. Access the inspection workspace.
    2. Select the Inspection Sheet section.
    3. Select the drop-down list box for checklist category of the checklist inspection.
      The checklist items for that category are displayed.
    4. Enter the details in the Checklist Finding offline form.
    5. Optionally, select to capture an image that supports the current finding.
      A thumbnail appears in the row with the count of total images captured for that record.
    6. Optionally, select create to create a recommendation for the current finding.
      A recommendation is created and is available in the Recommendations section.
      Note: Inspection Health Evaluations allow you to assign Health Assessment values to Inspections and Inspection Checklist Categories. When the Health Evaluations admin setting is enabled for a Family, the Health Evaluation icon is available for new inspections created in the same Inspection Event Family.
  2. For a non-checklist inspection:
    1. Access the inspection workspace.
    2. Access the Inspection Sheet section.
    3. Select the drop-down list box for the findings or sub-inspection family.
      The records related to the inspection appear.
    4. For an existing record, select the ID of a record to open the record’s offline form.
    5. Enter information as required, and then select Save.
    6. To create a new record, select Create New to open the record’s offline form. Enter information as required, and then select Save.
      Note:
      • The offline record editor also provides a section for viewing images. If required, you can switch between the General Information and Photos sections while entering data.
      • You can create recommendations only if the Enable Inspection Recommendations for Inspection Field Data Collection check box is selected.

Results

The Inspection findings and sub-inspections are created or updated in the internal database of Integrity Mobile. Only after you upload them, the changes are reflected in the APM database.

Delete Findings or Sub-Inspections

About This Task

This topic describes how to delete findings or sub-inspections created in the Integrity Mobile app.

Procedure

  1. Access the inspection workspace.
  2. Access the Inspection Sheet section.
  3. Select the ID of the record that is created in the Integrity Mobile app.
    An offline form for the record appears.
  4. Select .
    A confirmation window appears, asking you to confirm if you want to delete the record.
  5. Select Yes.
    Note:
    • The records that are created in the Integrity Mobile app and are not yet uploaded to the APM can be deleted by opening the offline form and selecting .

Results

The record has been deleted from the internal database of Integrity Mobile app.

Create a Recommendation Against a Finding

About This Task

The Recommendations section displays all the recommendations that were either downloaded along with the inspection or created as a part of completing the inspection in the Integrity Mobile app. This topic describes how to create a recommendation against a finding. When you create recommendation against a finding, it inherits the images captured for that finding and a thumbnail to access the gallery of images is available in the table for that recommendation.
Note:
  • Any information entered is updated in the APM database when the inspection is uploaded.
  • The Recommendations section is available only if the admin preference Enable Inspection Recommendations for Inspection Field Data Collection is cleared.

Procedure

  1. Access the inspection workspace.
  2. Access the Inspection Sheet section.
  3. Select the checklist category or the General Finding family for which you want to create a recommendation.
    Rows are displayed with the finding items.
  4. Select to create a recommendation for the current finding.
    The offline form for the new recommendation appears.
  5. Enter the recommendation information as required.
  6. If required, take photos that may be specific for the recommendation.
  7. Select Save.

Results

The Inspection Recommendation is updated in the internal database of Integrity Mobile app and is available in the Recommendations section.
Note:
  • When a recommendation is created against a Checklist Finding, the Category and Name fields are concatenated and populated in the Recommendation Headline field. Additionally, the Category is populated in the recommendation's Finding Basis field.
  • When a recommendation is created against a General Finding, the Inspection Profile Item and Inspection Method Item fields are concatenated and populated in the Recommendation Headline field. Additionally, the Inspection Profile Item is populated in the recommendation's Finding Basis field. The Inspection Profile Item and Inspection Method Item fields will only have values in General Findings created in the APM prior to being checked out in the Integrity Mobile.
  • When a recommendation is created against either a Checklist Finding or a General Finding, the Finding Summary value is copied to the Finding Summary field of the created recommendation.
  • When the recommendation is uploaded to APM, the recommendation is related to the finding it was created against via the Has Recommendations relationship. Additionally, any images that were captured for the finding will also be linked to the recommendation.
  • Any images that were captured for the recommendation will be linked only to the recommendation.

Create a Stand-Alone Recommendation Against an Inspection

About This Task

This topic describes how to create a stand-alone recommendation, which is not related to a specific finding.
Note: The Recommendation section is available only if the admin preference Enable Inspection Recommendations for Inspection Field Data Collection is cleared.

Procedure

  1. Access the inspection workspace.
  2. Access the Recommendation section.
  3. Select Create New to create a recommendation for the current inspection.
    The offline form for the new recommendation appears.
  4. Enter the recommendation information as required.
  5. If required, take photos for the recommendation.
  6. Select Save.

Results

The Inspection Recommendation is updated in the internal database of Integrity Mobile app and is available in the Recommendations section. Any images that were captured are linked to the recommendation.

Delete a Recommendation Created in Integrity Mobile App

About This Task

This topic describes how to delete a recommendation created in Integrity Mobile app. You can only delete recommendations that are created in Integrity Mobile and are not uploaded to APM.

Procedure

  1. Access the inspection workspace.
  2. Access the Recommendation section.
  3. Select the ID of the recommendation which is created in the Integrity Mobile app.
    An offline form for the record opens.
  4. Select .
    A confirmation window appears, asking you to confirm if you want to delete the recommendation.
  5. Select Yes.
    Note: The Recommendation section is available only if the admin preference Enable Inspection Recommendations for Inspection Field Data Collection is cleared.

Results

The Inspection recommendation is deleted from the internal database of Integrity Mobile app.

Access User Settings

Procedure

  1. Log in to the Integrity Mobile app.
    The Integrity Mobile page appears, displaying the My Inspections and All Tasks tabs.
  2. Select your username or the user picture icon, and then select Settings.
    The Settings pane appears, displaying the User Settings and Connection Settings tabs. By default, the User Settings tab is selected, and the User Settings page appears, displaying the username and the profile page, along with the available user preferences.
    Note: You can access the User Settings page from any page in the Integrity Mobile app.

Configure Downloading Inspection History Report

Procedure

  1. Access the User Settings in the Integrity Mobile app.
  2. Switch the Download Inspection History Report toggle to enable/disable downloading the Inspection History report while downloading an Inspection.
    The changes are saved as a user preference.

Configure Downloading Inspection Scope Documents

About This Task

This topic describes how to enable the Download Inspection Scope Documents preference, which enables downloading Inspection Scope Documents related to an Inspection during the Check Out process.

Procedure

  1. Access User Settings on the Integrity Mobile app.
  2. Switch the Download Inspection Scope Documents toggle to enable or disable downloading of the Inspection Scope Documents while downloading an inspection.
    The changes are saved as a user preference.
    Note: The Inspection Scope Documents options toggle is available only if the Inspection Scope Document feature is supported by the APM server the app is interfacing with. For more information, see Integrity Mobile Feature Support Matrix.

View and Annotate an Inspection Scope Document

About This Task

Inspection Scope Documents can be associated with an Inspection within APM to assist context when performing an inspection. The inspector can perform annotations to this document in the field to add additional context to the performed inspection. Integrity Mobile supports this workflow using its advanced document presentation and annotation functionality.
Note: The Inspection Scope Documents options toggle is available only if the Inspection Scope Document feature is supported by the APM server the app is interfacing with. For more information, see Integrity Mobile Feature Support Matrix.

Procedure

  1. Configure Downloading Inspection Scope Documents
  2. Access my inspections page.
  3. Check Out an Inspection with an associated Inspection Scope Document.
  4. Access the inspection workspace for the checked out Inspection.
  5. Select the filename link in the Inspection Scope section.
    The Inspection Scope Document view appears.
  6. Select in the bottom toolbar.
    Annotation options appear, providing the following options to annotate the document.

    You can apply highlights, underlines, and strikethroughs to existing text within the document.
    You can add defined shapes such a squares, circles, or arrows on the document.
    You can use for free-hand drawing on the document.
    You can add a formatted text overlay to the document.
    You can add handwritten signatures to the document.
    You can add popovers with custom text to the document.
    You can erase free-hand drawings from the document.
  7. Edit the document as required, and then select Save icon.

Results

The document is updated in the internal database of Integrity Mobile app.

Capture and Annotate an Image

About This Task

You can capture an image when documenting findings or sub-inspections. It helps in reviewing the documented findings. The application uses a default camera app to capture an image. After capturing an image, you can annotate an image using an image editing tool.
Note: The images captured in Integrity Mobile are saved as Reference Documents that are stored in the APM database and related via Has Reference Documents to the record the image was taken against.

Procedure

  1. Access the inspection workspace.
  2. Access the Inspection Sheet section.
  3. Open a list of records for which you want to capture an image.
  4. On the row of the record, select .
    The device's camera application opens.
  5. Capture an image.
    A message appears, asking you whether you want to use the captured image or retake the image.
  6. Select the Edit icon.
    The Annotate, the annotation page appears, providing the following options from the toolbar to edit an image.

    You can add a formatted text overlay to the image.
    You can use for free-hand drawing on the image.
    You can add defined shapes such a squares, circles, or arrows on the image.
    You can crop and rotate an image.
    You can use for brightness and image contrast.
  7. Edit the image as required, and then select Save.
    Note:
    • If required, you can use the Undo, Redo, or Reset buttons to individually roll back changes made to the image or to reset the image completely.
    • After the image is saved, you cannot undo the image edits.
    • If you want to delete an image, delete it from the photo gallery.

Results

The image is updated in the internal database of Integrity Mobile app.

Upload an Inspection

About This Task

After the collection of inspection data is complete, you can upload the inspection back to APM. This topic describes how to upload an inspection.

Procedure

  1. From the My Inspections page:
    1. Access my inspection page.
    2. Select Upload in the Action column of the inspections that you want to upload.
      Note:
      • You can select the Upload option for multiple inspections. They will be uploaded sequentially.
      • During the upload process, the text in the Action column is updated to indicate that it is syncing the records, images, or documents.
      • If there is a failure while uploading an inspection, the Action column will be updated with the Sync Errors status. You can open the inspection to view the reason for failure, correct any data entry errors, and retry.
  2. From the Inspection workspace:
    1. Access the inspection workspace.
    2. Select Upload.
      • If there is a failure while uploading the inspection, the Sync Errors window appears, indicating the inspection section in which the error occurred. You can close this window and continue to review the report, correct any data entry errors, and retry.
      • If the upload is successful, you will receive a confirmation message, and you will be redirected to the My Inspections page.

Results

The inspection is uploaded to the APM database and is unlocked in Inspection Management for further actions. For more information on uploading inspection, refer to How are inspections uploaded to the APM?

Delete an Inspection From the Device

About This Task

After checking out an Inspection from APM, if you do not want to upload the inspection, you can delete it. This topic describes how to delete the inspection from the device.

Procedure

  1. Access the inspection workspace.
  2. Select Delete From Device.
    A confirmation window appears, asking you to confirm if you want to delete the inspection.
  3. Select OK.

Results

The inspection is removed from the device, and it is unlocked in Inspection Management.

Diagnose a Failed Upload

About This Task

When you upload an inspection and it fails uploading, the Sync Errors message appears in the Action column of the My Inspections page. This topic describes how to diagnose and resolve any potential field validation failures.

Procedure

  1. Select Sync Errors at the end of the Inspection workspace.
    The Sync Errors window displays the data where errors have occurred.
  2. Navigate to the correct section of the error.
    If the error window indicated an error with a finding family or a sub-inspection, navigate to the Inspection Sheet section.
  3. Review, notice, and expand the headers for which error icon appears.
  4. For General Findings and related sub-inspections:
    1. Open the record with the error icon and select Sync Errors in the top header.
      The error window indicates that the specific field(s) failed validation along with the reason.
    2. Correct field validation errors if any.
  5. For Checklist Findings:
    1. Select the rows with Sync Errors and review the error window for the specific field(s) with failed validation.
    2. Correct field validation errors if any.
  6. Upload an inspection either from the Inspection Workspace or from the My Inspections page.

Results

You will be able to upload an inspection after resolving the field validation errors.

Show a Field

Procedure

  1. Access My Inspections Page or Access All Tasks Page on the Integrity Mobile app.
    A page appears, displaying a list of cards containing data.
  2. Select the button.
  3. From the Configure Grid dialog, locate the position within the card you want to fill with a field and select the corresponding dropdown. From the dropdown, select the field that you want to view.
    The selected field is displayed in the portion of the card chosen in the My Inspections or All Tasks page.
    Note:
    • Changes made in the Configure Grid dialog are stored as a user preference in the app.
    • The fields from Configure Grid dialog are configured from the Inspection Management module.
    • Up to 6 fields can be selected on tablet devices. Up to 4 fields can be selected on phone devices
     

Results

You can show or hide multiple columns in the My Inspections or All Tasks page in Integrity Mobile app.

Hide a Field

Procedure

  1. Access My Inspections Page or Access All Tasks Page on the Integrity Mobile app.
    A page appears, displaying a list of cards containing data.
  2. Select the button.
  3. From the Configure Grid dialog, locate the position within the card for which you want to clear the field, and then select the x button within the dropdown.
    The selected field is removed from the position of the card chosen in the My Inspections or All Tasks page.
    Note: You cannot hide the ID or Action fields.

Results

You can hide multiple fields in the My Inspections or All Tasks page in the Integrity Mobile app.
